Job Description
King George V School is looking for a temporary Facilities Officer to join the team. The duration will be from 30 April to 10 October 2026. We are looking for a motivated individual who is growth-oriented and who is interested in a career in school facilities management. Apart from overseeing day to day school maintenance, he/she will coordinate planned infrastructure upgrading projects with the ESF facilities team. He/she will manage vendors, drive timelines, and uphold safety standards to ensure a high-quality learning environment.
Responsibilities
Day-to-day Facilities Operations
Receive, prioritise and action facility service requests (repairs, cleaning, minor maintenance).
Monitor and manage the school’s helpdesk/maintenance ticket system; log, update and close requests.
Conduct routine inspections of buildings, grounds and equipment; report defects and recommend remedial actions.
Liaise with external contractors (plumbing, electrical, cleaning, landscaping, security, etc.); obtain quotes and schedule works.
Supervise on-site contractors to ensure works comply with specifications, school policies and safeguarding requirements.
Maintain up-to-date records of contracts, warranties and service agreements.
Rental & External Use Management
Manage enquiries and bookings for external hires of school facilities (halls, sports facilities, classrooms) including checking availability and preparing hire agreements.
Process rental applications, obtain necessary approvals, and ensure compliance with school policies, insurance and safeguarding requirements for external users.
Coordinate logistics for external groups: access, security, cleaning, equipment setup and staff supervision as required.
Oversee invoicing and collection of rental fees; liaise with Finance for timely processing and record keeping.
Monitor and enforce conditions of use during rentals; inspect facilities before and after hire and document any damages or additional cleaning required.
Maintain an up-to-date calendar of rentals and block bookings to avoid conflicts with school events and timetabling.
Health & Safety, Compliance & Risk Management
Support compliance with local statutory requirements and school H&S policies (e.g., fire safety, lift inspections, water testing).
Assist with risk assessments, safety audits and corrective actions.
Maintain and update H&S records, incident logs and inspection reports; support emergency response procedures.
Planned Maintenance & Project Support
Assist the ESF FDD with routine and planned maintenance schedules such as sports field returfing, toilet renovation, and school façade projects etc.
Support small refurbishment projects: prepare basic specifications, coordinate site access, monitor progress and quality.
Help manage inventories of spare parts, materials and equipment.
Grounds, Site Security & Events Support
Help oversee site security arrangements and access control (badges, visitor passes).
Support setups for school events (room set-up, furniture, signage) and ensure post-event clearance.
Coordinate with security/guards for traffic, parking and crowd control as needed.
Administration & Communication
Keep accurate records, produce simple reports and update asset registers.
Communicate effectively with staff and contractors about scheduled works and any disruptions.
Ensure appropriate safeguarding standards when contractors or external hirers are on site.
General Duties
To work closely with the Operations Manager and support when necessary
Any other ad hoc duties as assigned/listed by the line manager
Requirements
Cert / Diploma in Facilities Management, relevant experience in facilities maintenance or newly graduates from relevant fields. Technical background a definite advantage
Self‑motivated with strong sense of responsibility and problem‑solving skills
Fluency in oral, written English and Cantonese
Strong communication and interpersonal skills and a good team player
Ability to firmly communicate firmly with contractors and external guests while maintaining a positive, healthy relationship
Strong organisational skills
Time management
Good customer service attitude.
