About the team Administration Section is responsible for the wide range of general office administration duties for the Bank.
General office administration duties including office lease, office facilities management, procurement and payment, reception service, tea service to customers, driver and messenger services, manage office security and safety, expatriate housing management, etc.
Role requirements To follow the policy & direction of the Dept/Section, & to assist your superiors in accomplishing the Dept/Section’s overall duties & responsibilities at all times To ensure the following duties are performed efficiently and in a cost-effective manner: a.
To register the incoming & outgoing mails.
b.
To distribute office forms, stationeries & computer forms to Departments upon superior’s instruction.
c.
To check the inventory stock of stationery / documents upon superior’s instruction.
d.
To perform office equipment check and place maintenance order whenever necessary.
To perform clerical tasks (such as typing, computer inputting, filing etc.) assigned by superiors.
To operate multiple-call telephone switchboard console and routes calls to the appropriate person or location To greet customers, job applicants, vendors, and other visitors at the reception counter in office or lift lobby, and assure that they are escorted to the proper office.
To backup the duties of reception counter To perform any other duties assigned by superiors.
Deliverables: To provide good customer service for external customers and internal customer.
Essential Functions Provide support in the Main Office mailroom services for Group company staff and external customers.
It is also required to handle clerical works for mailroom and reception duties of the Group Company premises.
Competencies We are looking for an individual who understands Mizuho’s mission, vision and values.
He/she should be able to work independently or in a team.
The individual should be able to judge priority among tasks and makes practical scheduling and time management to complete tasks before deadline.
The individual should be able to effectively negotiate with his/her external/internal counterparties to executive regular tasks.
He/she is an excellent team player and has an innovative spirit.
He/she should respect for, and commit to high standards of business conduct and integrity.
Work experience, education and skills F.6/7 or above; Minimum 1 year clerical experience with office support service experience including tea services and internal document delivery experience and / or tea services; preferably with working exposure in sizeable company; Proficient in Cantonese; English is preferred; Shift Duty: 8:00am-4:30pm; 8:30am-5:00pm; 9:00am-5:30pm; 9:30am-6:00pm; Good communication skills; Hardworking and able to work under pressure.
