Responsibilities include processing payroll, maintaining records, preparing and analysing reports, and collaborating with HR and other departments. Candidates are required to have experience in payroll, ORSO and MFP processing, IRD reporting, familiarity with payroll software, strong analytical and organizational skills, and the ability to handle sensitive information confidentially, with a keen attention to detail in all calculations. KEY AREAS OF RESPONSIBILITY: End-to-End Payroll Processing: Manage the complete payroll processing cycle including the monthly execution of both of the regular and off-cycle payrolls, ensuring accuracy of data and timely delivery, with strict confidentiality, and collaborate with relevant parties to quickly resolve any payroll issues that arise. Prepare reconciliations between employee contracts and payroll system data, including new hires, terminations, and changes. Communicate with Human Resources, other relevant departments and employees regarding any discrepancies or inquiries. Calculate payroll adjustments, timesheets, additional pay, and deductions, as well as allocate insurance premiums. Prepare and review payroll data and reports to verify pay calculations, deductions, and adjustments, ensuring reconciliation and alignment with payroll inputs, payments and policy. Ensure proper documentation of payroll-related accounting transactions. Income Tax Returns Function: Maintain accurate and proper records for the preparation of required tax filings and other statutory reports, ensuring compliance with payroll regulations, tax laws, employment legislation, and internal policies and procedures. Timely management of reporting of employer returns, including those for new hires, terminations, and annual filings. Coordinate and verify Rental Reimbursement Claims for income tax reporting, providing filings to the Inland Revenue in accordance with IRD rules and regulations. Prepare Summary of annual benefits to employees for U. S. income tax purposes. Serve as the primary point of contact for payroll and income tax related inquiries and issue resolution. Support on income tax related workshops for internal stakeholders. Retirement Scheme: Collaborate with Human Resources to manage provident fund and pension contributions, ensuring that adjustments for new and terminated members are handled accurately. Communicate with the trustee regarding monthly contributions. Data Analytics and Reporting: Assist with data analytics, audit activities, and management reports relating to payroll. Ensure accurate payroll data entry and allocation within the system, ensuring proper reflection in the General Ledger. Support on Administrative Procedures and Internal Controls: Stay updated with payroll best practices, industry trends and changes in regulations. Collaborate with the team to streamline and automate payroll processes, enhancing efficiency and accuracy. Assist in recommending improvements in administrative procedures and internal controls on payroll and alert Accounting Manager or Director of Finance on payroll issues. Other: Filing and archiving. Support payroll system upgrades and enhancements. Undertake any other duties and functions as required which positively impact and strengthen the organization and improve overall operations. EXPERIENCE & QUALIFICATIONS: Education: Degree in Accounting or other related field. Experience: A minimum of 5 years’ payroll accounting experience. Skills: Respect and maintain highest level of confidentiality at all times. Strong interpersonal, diplomacy and organization skills, takes ownership and responsibility. Ability to handle confidential and sensitive information with professionalism and discretion. Able to work independently and collaboratively. Strong verbal and written English and Cantonese communication skills (Putonghua will be an advantage). Able to meet schedules and deadlines; work under pressure, with minimal supervision. Knowledge in payroll regulations, tax laws and employment legislation. Proficient in payroll software / tools, with the ability to process and analyze payroll data properly. Exposure to new system implementation will be a plus. Proactive, adaptable and flexible, reliable and dependable, and detailed oriented. Proven experience in payroll management and a solid understanding of income tax reporting.
