Location: Hong Kong Job Summary: We are seeking an organized and energetic Office Manager to manage daily operations and enhance the workplace experience in our Hong Kong office. This role is crucial in maintaining a productive, efficient, and welcoming office environment that aligns with Payoneer’s global standards. The ideal candidate will be a strong communicator, a problem solver, and a proactive organizer who excels in multitasking and building relationships with internal and external stakeholders. Key Responsibilities: Office Operations Management: Oversee daily office operations to ensure a smooth, efficient, and safe work environment for all employees. Manage office facilities, including maintenance, cleanliness, and safety protocols, in coordination with the global workplace team. Monitor and manage office supplies inventory to maintain availability and prevent shortages. Employee and Guest Experience: Provide exceptional support to Payoneer employees and guests by addressing their day-to-day needs and ensuring a high-quality workplace experience. Collaborate with HR to coordinate employee onboarding, offboarding, and other internal processes to foster a positive and cohesive work environment. Event Planning and Coordination: Plan and execute in-house and off-site events, including sourcing and coordinating with vendors, managing budgets, and ensuring successful event delivery. Support workplace engagement initiatives by coordinating social events, team-building activities, and wellness programs that align with company culture and values. Vendor and Service Provider Management: Build and maintain strong relationships with vendors and service providers to ensure quality services and timely invoicing and payments. Negotiate contracts, manage procurement processes, and ensure compliance with company policies and standards. Catering and Hospitality Management: Oversee food orders and catering for our Food & Beverage program, ensuring quality, variety, and employee satisfaction. Implement feedback mechanisms to continuously improve food services and address any issues promptly. In-Office Preference: For optimal efficiency in managing daily office tasks, this role requires a consistent in-office presence all 5 work days in a week. Qualifications: Professional Experience:3+ years of experience in office administration, facilities management, or a related field, preferably in a global or fast-paced company. Proven ability to manage multiple tasks and priorities effectively, with strong attention to detail and organizational skills. Skills and Competencies: Excellent interpersonal and communication skills, with the ability to build positive relationships with employees, vendors, and stakeholders. Strong problem-solving skills and a proactive approach to identifying and addressing challenges. Ability to work independently and as part of a team, demonstrating a high level of initiative and assertiveness when needed. Technical Proficiency: Proficiency in Microsoft Office Suite (Outlook, Word, Excel, Power Point) and familiarity with office management software and tools. Language Skills: Proficiency in written and verbal English and Cantonese. Mandarin is a bonus.
